Position Description

 

Advertised Job Summary
The College of Hospitality, Retail and Sport Management (HRSM) is seeking a dynamic and highly organized Business Coordinator for the School of Hospitality and Tourism Management (HTMT). The Business Coordinator will provide essential support to HTMT leadership, managers, faculty, staff, students and guests. This integral role ensures the smooth operation of academic and administrative functions while serving as the first point of contact for the School. Key responsibilities include administrative and financial support, graduate program support, front office and guest relations, office operations, event and meeting coordination, and human resources support.

Job Related Minimum Required Education and Experience
Requires a bachelor’s degree in a job related field and no prior work experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials

 
Preferred Qualifications
Minimum of 2 years of administrative or business operation experience in a higher education or academic setting; experience coordinating/managing logistics professional gatherings; strong customer service skills in a fast-paced environment; ability to manage multiple priorities in a detailed-oriented/confidential/professional manner.

Knowledge/Skills/Abilities
Excellent written and oral communication skills. Ability to work without supervision. Knowledge of modern office practices, procedures, and equipment. Ability to plan, organize and communicate effectively. Ability to establish and maintain effective, professional working relationships.

Provide support to the School Director, Program Manager, Center Directors, Faculty Directors/Associate Deans/Administrators, and all faculty/staff of the School of Hospitality and Tourism Management. Key responsibilities include processing travel authorizations and reservations, reimbursements, purchases, payments, requisitions, purchase orders, and contracts. Maintain and monitor expense to ensure budgeted amount is not exceeded. Support graduate coordinators with application reviews, respond to graduate program inquiries and create and maintain spreadsheets to track graduate student prospects. Track and ensure accuracy of printed material and supplies for graduate programs. Maintain a courteous, approachable and high standard professional demeanor in all interactions. Supervise student workers as needed.

Serve as the first point of contact for the School of HTMT, which may be stationed at a desk located in a public-facing lobby. Responsibilities include greeting and assisting students and guests in a professional manner, providing appropriate direction and announcements, and extending hospitality to guest speakers, industry partners, donors, and prospective students or candidates. Manage calendars and appointments for the department and the Director, answer phone, deliver messages and oversee incoming and outgoing mail and deliveries. Track supply inventory (general office supplies, coffee, brochures, etc.). Order desk copies for faculty. Perform clerical duties such as filing and scanning documents. Maintain HTMT suite organization. Serve as the department’s liaison to Facilities for service requests and related departmental needs.

Provide operational support for department events, including but not limited to: department meetings, HTMT Career Fair, HTMT Week, Advisory Board meetings, Dinners/Receptions, take meeting minutes, make room reservations for the Director, Program Manager, any Faculty Directors/Associate Deans/Administrators and all faculty/staff of the School of Hospitality and Tourism Management. Assist the School of HTMT with logistics for guest/panel speakers, including arrangements for travel, parking, gifts, certificates, etc. for the all HTMT constituents.
