Essential Job Duties
Key Responsibilities:
- Scheduling & Event Coordination: Manage class schedules, conference rooms, and event logistics, including catering and departmental planning.
- HR Support: Facilitate hiring, modifications, and separations for student workers, graduate students, and unpaid visiting scholars. Assist with H1B visa processes and salary distribution changes.
- Financial Management: Reconcile and monitor multiple departmental projects, PCard transactions, vendor payments, interdepartmental transfers, journal vouchers, and travel reimbursements.
- Operational & Facilities Management: Oversee key and phone management, work with facilities manager, handle mail and document retention, and assist with inventory and stockroom maintenance.
- Faculty, Staff & Student Support: Serve as the primary front desk contact, provide administrative support as needed, and enroll students in courses.
- Travel & Logistics Coordination: Arrange rental cars, lodging, and parking passes for departmental guests. Assist with travel authorizations and reimbursements.
- Shipping & Vendor Relations: Coordinate FedEx shipments, vendor setups, and customs-related transactions. Work with external vendors to process prepayment requests.
- Special Projects & Compliance: Support business officer in monitoring startup and retention funds, track monthly gas rentals, and ensure compliance with university financial and operational policies.
Other Responsibilities
Minimum Experience/Education
All degrees must be received from appropriately accredited institutions.
Other Required Qualifications
- Experience in an administrative support, office management, or similar role.
- Proficient in Microsoft Office (Word, Excel, and PowerPoint) and Google or similar software.
- Experience with calendaring management and scheduling.
- Experience with scheduling travel and processing reimbursements.
- Good judgment and ability to use discretion when handling sensitive and confidential information.
- Ability to work independently.
- Strong attention to detail.
- Excellent verbal and written communication skills.
- Ability to consistently demonstrate a professional demeanor.
- Strong organizational skills with the ability to effectively manage multiple priorities simultaneously.
- Ability to resolve conflicts in an efficient, customer service oriented manner.
