The work hours will primarily be regular day shift office hours. However, there may be times when they are required to work off hours to respond to project inquiries, adhere to project deadlines and meet the overall needs of a 24/7 health system/university.


Sightline is seeking a Sponsored Projects Business Systems Coordinator to join our functional team, dedicated to reimagining the sponsored projects lifecycle. Analyst will work collaboratively with consultants and stakeholders across the enterprise to develop business requirements, create process and workflow documentation, and design and implement innovative solutions for sponsored award management. Analyst will focus on business processes, including managing award master data, post-award administration, data conversion, compliance, revenue streams (ex. billings and letter of credit draws), financial reporting tools and analytics, and account closeout.


Specific Duties & Responsibilities

  • Collaborates with team members to oversee the accurate migration of data from legacy systems to the Workday Grants platform, ensuring data integrity, completeness, and proper structure.
  • Conducts a comprehensive analysis of existing datasets to identify potential issues, including duplicate entries, incomplete records, or formatting errors, focusing on critical areas like the revenue cycle, billing processes, and letter-of-credit draws.
  • Reviews and assesses the quality, structure, and completeness of data from various sources, including legacy systems, spreadsheets, and external databases, to ensure they meet Workday Grant system’s standards.
  • Engages with key stakeholders, including department heads, project managers, and finance teams, to address data inconsistencies and align datasets with Workday Grants system requirements.
  • Facilitates collaborative efforts to clean and validate data, ensuring accuracy and compliance with institutional policies and system configurations.
  • Partners with functional Sightline teams to contribute to the design, configuration, and implementation of the Workday Grants system, ensuring alignment with organizational needs.
  • Participates in the development of system workflows, ensuring they reflect both current and future state operational requirements.
  • Assists in planning and executing system testing and quality assurance activities to validate the Workday Grants implementation, including troubleshooting and resolving identified issues.
  • Develops and maintains detailed test scripts and scenarios to evaluate the functionality and accuracy of the new system.
  • Prepares and updates thorough documentation for Workday Grants configurations, workflows, and processes to support ongoing operations and knowledge transfer.
  • Stays current with Workday Grants system updates, trends, and best practices, proactively identifying opportunities for system optimization.
  • Reviews and advises on redesigned post-award processes, ensuring alignment with departmental responsibilities, including invoicing, reporting, and closeout activities.
  • Provides subject matter expertise in mapping and refining post-award processes to ensure compliance with institutional and sponsor policies, identifying risks and proposing solutions.
  • Collaborates with cross-functional teams and end users to gather feedback, address concerns, and promote user adoption of the new system.
  • Assists in developing training materials and delivering training sessions to ensure stakeholders understand and efficiently use the Workday Grants system.


Special Knowledge, Skills, and Abilities

  • Excellent communication skills, including the ability to listen and effectively synthesize information from subject matter experts; the ability to write and present clearly and concisely.
  • Ability to understand, analyze and document dependencies and impacts in a highly integrated system or within overlapping business processes.
  • Ability to effectively work with loosely defined or high-level requirements and schedules.
  • Proficiency with Microsoft applications, especially Excel, Visio, and PowerPoint.
  • Ability to function effectively within a structured project management environment.


Minimum Qualifications
  • Bachelor's Degree.
  • Two years of administrative/budgeting experience
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Experience working in a higher education, academic medical center, and/or health care setting.
  • Experience with a cloud-based ERP solution such as Workday, Oracle, or SAP.

Total Rewards
The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education/training and other qualifications. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
