Department Required Skills
Program Administration:
• Prepare, process, and track scholarship awards with OSFA and confirm with Admissions, computer stipend payments to students and bookstore, Park Enrichment Grants (PEGs), and process park faculty scholar’s additional payments twice a year. Temporary employee timesheets, including work-study (biweekly; project hours & funding, etc. Reconcile PEG receipts and send them to accounting;
• Maintain accurate and timely records of all financial transactions, monitor issues throughout the year, that are reported to the Park Foundation;
• Process incoming and outgoing payments, including grants from the Park Foundation, travel authorizations, IDTs, and reimbursements;
• Handle all gifts, including processing, tracking, preparing thank you letters, and sending thank you emails;
• Prepare Park Alumni Society financial reports;
• Generate reports to meet university regulations and financial reports to Park Foundation twice a year;
• Reconcile accounts monthly and annually; resolve problems, including making journal vouchers and budget revisions;
• Oversee hiring and termination activities for department employees, such as completing required paperwork and working with employees to complete required activities;
Public Relations:
• Handle inquiries from campus partners (e.g., Park Foundation Trustees, senior university administrators), media, vendors, alumni, students, candidates, parents, counselors, faculty and staff, etc.;
• Handle phone calls and greet walk-in visitors;
Staff/Program Assistant and Personnel Administration
• Selection (application processing, logistics for interview events, etc.);
• Bulk mailings – locate addresses, create labels/envelopes, arrange for delivery/pickup, assemble materials to be mailed, etc.;
• Maintain and store current student records (including entrance documentation such as FERPA to Director and YMCA/medical to Assistant Director and alumni records. Annually update the scholar directory for incoming and graduating classes. Create freshman and senior photos. Submit non-renewals to the director of Advancement;
• Recruit (post, hire, train, and supervise student(s) with Federal Work-Study Program. Provide work annual plan for student assistants prior to the fall semester;
• Process HR actions, payroll, timesheets, onboarding, and offboarding;
• Supervise computer stipend process, including determining stipend amount with the committee, releasing requirements and materials for the new class, transferring unassigned funds, ensuring computers are purchased by the end of the second year, and reviewing requests within two business days of receipt, and maintaining records;
• Event management such as check-in, nametags, catering, programs, etc. including but not limited to Leadership Academy (LA) Concepts and Models, corresponding with students and Park Faculty Scholars, LA diversity modules (Spring), Krispy Kreme reception, Park Symposium;
• Oversee community socials (August/Apr) and logistical details for the Faculty Mentor Program. Ensure all Park Faculty Scholars have name plates (April);
• Oversee details (room reservations, catering, email reminders, scheduling, etc.) for program meetings including Park Faculty Scholars, Park Advisory Committee, and PEG;
• Oversee holiday cards, and birthday cards for friends of the program (Park Foundation Trustees, Park Faculty Scholars. Submit friends of the program list to Chancellor’s office for holiday cards;
• Create an annual demographic report of Park Scholars. Update fellowship/scholarship plaques annually. Annually archive items at the library;

• Ensure security of office space and related building entrances; perform office opening and closing tasks; give and remove access to department spaces, e.g. keys and key card access to students, faculty, and staff;

Preferred Years Experience, Skills, Training, Education
Strong oral and written communication skills;
Computer literate. Knowledge of Peoplesoft Financials, Human Resources, and Student Information System;
Proficiency with Microsoft Office, particularly Word, and Excel;
Proficiency with Google Suite, particularly Gmail and Google Drive (especially Docs and Sheets);
Demonstrate technical knowledge and skill and ability to perform;
Knowledge of UNC System and/or NC State community, processes, and protocols;
Ability to analyze, interpret, and implement policy and procedural guidelines;
Ability to plan and facilitate the activities of the office. Ability to evaluate and assess workflow and staffing resources;
Ability to train and supervise student workers;
Demonstrate motivation, good judgment, drive, and a proven ability to work with a team;
Obtain a valid North Carolina driver’s license within 60 days of the start date, if not currently in possession of one.
