Rutgers, The State University of New Jersey, is seeking a Business Specialist for the Department of University Communications and Marketing. Reporting to the Business Manager for the Business Affairs Office of the Department of University Communications and Marketing the Business Specialist is responsible for providing financial and administrative support to the Business Affairs Office to assist with the departmentís finance, purchasing, personnel and administrative needs.
Among the key duties of this position are the following:
  • Processes requisitions for the Business Managerís review and approval, specifically those that involve more complex agreements.
  • Serves as the departmentís IPO buyer.
  • Produces reports on transactions for specific projects and initiatives based on specifications provided by the Business Manager and reviews transactional data in assigned project and general ledger and project strings for accuracy.
  • Processes hiring forms in HCM for all classes of employees and performs general on-boarding for new class 1 employees.
  • Enters charging instructions in HCM for staff wages and salary.
  • Maintains archives of personnel files.
  • Performs a bi-annual I-9 audit for the Department.
  • Maintains absence records for senior leaders and administrative staff.
  • Maintains up-to-date financial records in Filemakeróthe Departmentís proprietary job tracking databaseófor Creative Services.
  • Maintains the departmentís facilities.
  • Performs other duties upon request by the Business Manager.
  • Maintains an understanding of the Universityís policies and inform staff of any changes.

Minimum Education and Experience
  • Bachelorís degree in accounting, finance, business administration, or related field; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of generally accepted accounting principles and standard university procurement practices.
  • A minimum of two years relevant experience in a business or administrative function.
Required Knowledge, Skills, and Abilities
  • Experience supervising administrative or business staff.
  • Excellent communications skills and an understanding of office administration, organization, coordination, facilitation, and computer literacy.
  • Must be detail-oriented and value cross-collaboration.
  • Must also have a commitment to accuracy and process and seeks to proactively resolve business-related issues.
Preferred Qualifications
  • Experience with Cornerstone and related applications.
  • Prefers three years of experience in a business or administrative function.
Equipment Utilized
  • Strong knowledge of Microsoft Office including Excel, Word and PowerPoint
Physical Demands and Work Environment
  • This position will work autonomously in collecting and entering payroll forms with little supervision.
