Administrative Assistant, Advanced Leadership Initiative

Job Description

Harvard’s Advanced Leadership Initiative (ALI) seeks to hire an Administrative Assistant to perform a variety of administrative duties, primarily in support of ALI’s core office operations, Fellowship selection, and post-Fellowship engagement.

ALI is an innovative academic program designed to unleash the potential of experienced leaders to help solve society’s most pressing challenges. As a university-wide initiative, ALI draws upon the expertise of all of Harvard’s professional schools and academic departments.

ALI Fellows come to Harvard and embark on a year-long immersion in inter-disciplinary academic learning, leadership development, and peer-to-peer collaboration to develop a social impact strategy focused on their issue of choice. Participants in the ALI program become part of a vibrant community of changemakers who continue learning, collaborating, and innovating for impact.

Position Description

  • Provide professional, highly reliable reception and support, serving as the first point of contact for distinguished
  • Fellows and visitors to ALI and responsible for office appearance
  • Provide calendar and scheduling support
  • Serve as initial point of contact for incoming e-mail inquiries from possible program participants and as backup for general phone and email inquiries
  • Track and order all office supplies and manage supply inventories
  • Liaise with building management to ensure timely handling of trouble tickets and access issues, in coordination with the Coordinator of Finance and Administration
  • Efficiently input and update data in ALI’s customer relationship management system (Salesforce), ensuring accurate, complete records that position us to leverage our unique community of Fellows for social impact.
  • Take on increasing levels of responsibility for CRM maintenance, as you demonstrate knowledge of ALI and our client base
  • Conduct prospecting campaigns and list generation, as well as basic internet research
  • Maintain good working relationships with vendors and other administrative contacts
  • Serve as a contact for general office operations and equipment management
  • Assume additional departmental support duties and provide supplementary, on-site support needs during major events, as required.

Basic Qualifications

  • High school diploma, GED, or equivalent required.
  • 3+ years of experience in customer service-oriented and/or administrative support role(s) or related experience is required.
  • Education beyond high school may count toward experience.
  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

Additional Qualifications and Skills

  • BA/BS Preferred
  • Requires a flexible team player with the willingness and ability to provide superior service in an environment where exceeding expectations is of the utmost importance.
  • Must possess the poise, maturity, and diplomacy needed to support a demanding, senior level customer base.
  • Must be highly motivated, able to work as part of a small team, and detail oriented, with excellent collaboration and problem-solving skills.
  • Ability to work on and prioritize multiple projects simultaneously and meet tight deadlines in a fast paced environment.
  • Experience with databases, particularly Salesforce, desirable.
  • Excellent written and verbal communication skills.
  • Absolute discretion in handling confidential information, with strong judgement in general.
  • Agile learner with a willingness to embrace new software programs and technologies.
  • Reliability, with high energy and enthusiasm, a positive demeanor, and an interest in social impact; a sense of humor preferred.

Additional Information

This role requires that you are onsite at our Boston, MA based campus as the role is not eligible for remote and/or hybrid work.
