Description

 

The Foundation Finance Officer shall report to the Vice President for Advancement.  Duties and responsibilities include, but are not limited to, the following:

  • Oversees the budget and expenses for the Foundation.
  • Oversees any other financial contributions/donations to campus, including agency funds, and management of other non-profit funds on campus, such as New Horizons Foundation.
  • Assists Vice President for Advancement and grants coordinator in writing grant proposals, especially with creating budgets for proposals related to NMJC Foundation and reviewing grant proposals for the Advancement Division.
  • Oversees and monitors budgeting, expenses and related reconciliations of grants received by the NMJC Foundation.
  • In coordination with Vice President for Advancement, supervises 1-2 additional staff including any contract employees needed for specific projects.
  • Directs and coordinates financial statement preparations, tax return filings, disbursement of funds; reports current financial status on a quarterly basis to Vice President for Advancement; implements Board policy and by-laws where they pertain to finances; prepares and monitors annual operating budgets; manages banking and investment consultant relationships; and oversees Foundation assets. The Foundation Finance Officer works closely with and supports the Foundation’s Investment Committee to provide timely reporting and implementation of key decisions around the endowment in coordination with the investment advisor.
  • Responsible for formulating financial policies and procedures, ensuring consistency and compliance with Foundation Board policies, state and federal fiscal management laws and regulations, and generally accepted accounting standards.
  • Tracks and accounts for all Foundation assets, liabilities, income, and expenses; makes all entries into the accounting system; prepares financial statements; tracks and monitors all activities for individual accounts.
  • Collaborates with the Foundation Investment Committee to determine where to place funds outside the investment pool; monitors receipts and authorizes disbursement of funds to ensure proper controls are in place. Works closely with auditors during the annual audit to provide necessary information; participates in creating annual IRS reports and State of NM annual corporate reports; thoroughly reviews all reported information. 
  • Analyzes endowment earnings and the amount of non-endowed funds available for scholarships, program assistance, work study, and other expenditures; 
  • Works in coordination with Foundation staff and Scholarship Committee to award scholarships in accordance with policies and procedures; monitors funds paid to ensure expenditures are within allotted budget amounts, raise awareness of funding availability; works with Foundation and Financial Aid staff to award, adjust and reconcile scholarships to/on student accounts, helps to organize, plan, and implement Scholarship Reception.
  • Monitors performance of investments and reports results to the Foundation Investment Committee; places funds in, and removes funds from the investment market as appropriate.
  • Monitor the College-funded Institutional Foundation budget.
  • Maintain the permanently restricted fund corpus balances.
  • Maintain the security and safekeeping of Foundation financial records.
  • Creates and oversees donor/sponsor agency agreements and necessary legal documentation for donations, endowments and scholarships as specified by donors/sponsor agencies. 
  • Maintains donor accountability as agreed in scholarship and endowment agreements.
  • Works in coordination with Foundation/Advancement staff to ensure donor thank you letters are written and distributed as funds are received
  • Responsible for computer applications directly related to the financial files of the Foundation office
  • Performs system analysis and recommend computer applications for Foundation financial /donor functions
  • Reviews data entry into the donor software
  • Coordinates with Computer Center on all system problems
  • Report to the Foundation Treasurer and Foundation Investment Committee.
  • Furnish data for special purposes as directed by the Vice President for Advancement and NMJC Foundation.
  • In coordination with Foundation staff, helps to oversee and ensure compliance with laws, policies and procedures regarding donations, donor substantiations, and entries into Foundation Donor Software, Razor’s Edge. 
  • Assists in planning and conducting various events including but not limited to golf tournaments, alumni/homecoming events, scholarship receptions and other fundraising efforts/events.
  • Performs other duties as assigned or required. 
  • Nothing contained herein shall limit the President in assigning the employee to any of the various college activities for which he/she would be qualified in order to meet the needs of New Mexico Junior College.

 

Qualifications

 

  • Bachelor’s degree in Accounting, Business Administration, or related field. 
  • Three (3) years of accounting experience, preferably in a non-profit organization; OR an equivalent combination of education, training, and experience. 
KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of College and department of policies and procedures. 
  • Knowledge of generally accepted accounting principles.
  • Knowledge of and experience with donor and fundraising software such as Razor’s Edge to help better plan and grow Foundation Funds and track key data and contact information.
  • Knowledge of scholarship and endowment requirements and agreement procedures. 
  • Skill in establishing and maintaining effective working relationships. 
  • Skill in problem solving and conflict resolution. 
  • Skill in team and consensus building.
  • Skill in funding allocation and management. 
  • Skill in maintaining records and files. 
  • Skill in non-profit accounting. 
  • Ability to work as part of a group or team.

  • Ability to operate a personal computer, standard computer software, and some specialized software. 

 

Additional Qualifications

Additional Information

 

This is a twelve-month exempt position. Standard benefits apply.  The full pay range for this position is $67,928 to $98,958.
