Job Description

The Eastern Oregon University Victim Services Assistant is a contributor to ensuring compliance of the Department of Justice Victims of Crime Act (VOCA) grant. The Victim Services Assistant is a primary source of assistance to the Privileged Campus Advocate as it relates to the management of volunteers and event/program planning identified for the grant. The Victim Services Assistant is a .49 FTE part-time positions and is supervised by the Title IX Coordinator located in the Student Affairs Office.

The Victim Services Assistant assists the Privileged Campus Advocate with program operations as it relates to victims of crime, e.g., covering the office in the absence of the Privileged Campus Advocate, ordering supplies and publications; assist with calendaring events, trainings, programming and meetings; assist the Privileged Campus Advocate with the delivery of programming offered related to victims of crime; monitoring of EOU volunteer hours as it relates to service to victims of crime; ensuring that reports are submitted accurately and on schedule; and any other activities/training to facilitate the achievement of the VOCA grant-funded program at EOU.

The Victim Services Assistant position works with highly confidential information and communicates with students, staff, faculty, campus advocates, campus volunteers, the Privileged Campus Advocate, and the grant manager. The Victims Services Assistant works in a fast paced environment with many deadlines to meet and tasks to complete. This position may require a flexible schedule and a willingness to travel for training.

This is a limited duration position contingent upon grant funding.

Responsibilities

General office duties including maintaining office files, forms, brochures, and receipts; maintain Title IX webpages; manage office equipment and ensure supplies are stocked and ordered for the Privileged Campus Advocate and volunteers; answer telephones and route inquiries to the appropriate staff for contact and services.

Coordinate and schedule appointments for the EOU campus volunteers and advocates, and the Privileged Campus Advocate related to programming, tabling, grant management, and monthly/quarterly meetings.

Assist with the management of the EOU campus volunteers to determine the total volunteer hours necessary to meet identified goals/objectives of the grant.

Assist and support with grant management (volunteer reports, keeping track of the number of events held/conducted) necessary to meet identified goals/objectives of the grant.

Minimum Qualifications

  • This position requires the incumbent to complete a 30-hour State of Oregon approved domestic violence and sexual assault services training. (May be completed concurrently with work.)
  • Ability to work effectively with diverse groups of people. Including individuals involved in domestic violence and assault circumstances.
  • Professional demeanor and ability to maintain appropriate confidentiality.
  • High School diploma or equivalency; AND two years of general clerical experience. One year of which includes typing, word processing, or other experience generating documents.
  • Ability to understand, communicate, and effectively interact with people across cultures.
  • High level of verbal and written interpersonal communication skills.
  • Ability to work effectively as a team member with peers and other EOU personnel.
  • High level of multi-tasking ability.
  • Excellent customer service skills necessary to build rapport with students through a working knowledge of campus procedures.
  • Software/ Internet/ technological expertise: proficiency in MS Office, use of search engines, email, and scanner.
  • Strong organizational skills and attention to detail.
  • Ability to create and foster an inclusive environment.

 

  • Must satisfactorily complete EOU criminal and credential background check. Having a criminal history is not an automatic bar to employment.
  • In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification form upon hire. Eastern Oregon University will not sponsor applicants for employment visas.

Preferred Qualifications

  • An Associate’s degree in Office Occupations or Office Technology; OR

Graduation from a private school of business with a Certificate in Office Occupations or Office Technology.

  • Experience working with individuals involved in domestic violence and assault.
