Graduate Admissions Specialist (Administrative Program Support 2)

Job Description

Under the direction of the Director of Graduate Admissions, the Graduate Admissions Specialist (Administrative Program Support 2) will be responsible for the initial review of graduate applications retrieved from The Graduate School’s online Slate application system, with primary attention and priority given to the School of Business graduate program applications. The Graduate Admissions Specialist will work closely with other members of The Graduate School team and the School of Business to ensure that applications are made available for departmental review as quickly and efficiently as possible. The Graduate Admissions Specialist will serve as a resource in the areas related to graduate admissions, matriculation, and processing of graduate applications in accordance with University and departmental policies. The ideal candidate will be a team-oriented person with creative energy who values community, inclusion, excellence, and innovation.

DUTIES AND RESPONSIBILITIES

  • Reviews and processes admissions applications and transcripts in accordance with and enforcement of University and academic program policies, goals, and requirements on the admissibility of graduate students.
  • Assists with the workflow of the Admissions Team and the records and filing systems related to application, admission, and matriculation.
  • Participates in the management of central email boxes as related to graduate admissions for applicants, students, faculty, and staff and ensures professional, courteous, and timely customer service.
  • Retrieves and loads graduate applications into Peoplesoft and the Slate application system on a daily basis. Troubleshoots and corrects issues as they arise.
  • Loads test scores received from external test centers into Peoplesoft and the Slate application system. Resolves issues as necessary.
  • Determines the accreditation status of domestic and international colleges and universities. Adds new international colleges and universities into the Peoplesoft and the Slate application system.
  • Manages and coordinates Fulbright or other sponsored student applications with third-party sponsors and programs of interest.
  • Advises University personnel and current and prospective students regarding graduate admissions policies, regulations, and deadlines achieved through workshops, seminars, email communications, and the use of the Slate CRM system.
  • In collaboration with other team members, supervises, trains, hires, and establishes work schedules of student employees.
  • Participates in the calculation of grade point averages and in admission/matriculation of domestic and international applicants.
  • Collects documents and compiles a spreadsheet for the confidential review by the University Conduct History Review Committee (CHRC), of positive responses to questions concerning suspension/expulsion at previous higher education institutions on the application.
  • Collaborates with the International Students and Scholar Services Office (ISSS) to assist applicants with any visa or immigration-related questions.
  • May occasionally be required or requested to work irregular hours and occasional evening and/or weekend hours as needed, including hosting and/or participating in graduate admission programs and events.
  • Performs additional assignments and related duties as needed/required to achieve program objectives.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree and 2 years of experience, an Associate’s degree and 4 years of experience, or at least 8 years of experience.
  • 1-2 years of related experience with online application/admissions systems, e.g., Technolutions Slate, Hobsons Apply yourself, or with student enterprise-level software systems e.g., PeopleSoft or Banner.
  • Demonstrated knowledge of procedures involved in processing applications for admission to programs in higher education and the ability to resolve problems associated with processing applications.
  • Good organization and interpersonal skills.
  • Excellent oral and written communication skills.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree.
  • Demonstrated knowledge of policies and procedures associated with application and admission to graduate programs.
  • Demonstrated ability to communicate effectively and sensitivity to applicants from a variety of cultures.
  • 2 years of experience with online application/admissions systems e.g., Technolutions Slate, Hobsons Apply yourself, or a combination of 3-5 years of experience with student enterprise-level software systems e.g., PeopleSoft or Banner.
